How do you send a "ready for pickup" message?
- 1Mark the repair as Ready on the ticket.
- 2Choose Message Customer, then Ready for Pickup. The message fills in the customer name, device, repair number and your shop name.
- 3Click Open WhatsApp. WhatsApp opens on that customer's chat with the message typed in. Check it and press send.
Which messages are built in?
| Message | When to send it | What it tells the customer |
|---|---|---|
| Device received | At check-in | We have your device, with the device and repair number, and that you will hear when it is ready. |
| Ready for pickup | When the repair is done | Your device is ready to collect, with the device and repair number. |
| Delivery confirmation | When the customer collects | Your device has been handed back, and thanks for choosing the shop. |
| Not repaired | When a repair is not possible | We could not repair the device, and to get in touch about collecting it. |
| Estimate | After diagnosis (Web) | The diagnosis and estimate for the customer to approve. You can edit this wording in Settings. |
| Receipt summary | After payment (Web) | The repair total and the amount paid. |
| Custom | Any time | Your own text, sent from the ticket so the right number is used. |

One-tap messages vs automatic WhatsApp API tools
Some repair software sends WhatsApp messages automatically through the WhatsApp Business API. RepairFlow deliberately does not. Here is the trade-off:
| RepairFlow (one tap) | Automatic API tools | |
|---|---|---|
| Who presses send | A member of staff, after checking the message | The software, as soon as the status changes |
| Cost per message | None | Per-message fees from WhatsApp (Meta), often plus provider fees |
| Setup | None: uses the WhatsApp already on the counter PC or phone | WhatsApp Business API account and approved templates |
| Where replies arrive | Your normal WhatsApp chat | Often a separate inbox inside the software |
| If staff forget | The message is not sent | Sent anyway |
Where does it work?
RepairFlow Web
Opens WhatsApp Web or the WhatsApp desktop app at the counter. Adds estimate and receipt-summary messages, with estimate wording you can edit.
Android app
Opens WhatsApp on the phone, so technicians can update the customer from the bench.
What RepairFlow does not do
- Send messages automatically. Every message is opened pre-filled and a person presses send.
- Use the WhatsApp Business API, bulk broadcasts or marketing campaigns.
- Show delivery or read status inside RepairFlow. Check the WhatsApp chat for ticks and replies.
- Send email updates to customers.
- Give customers a live repair tracking link yet. This is on the way.
