How does repair ticket tracking work in RepairFlow?
Each device gets a ticket when it is booked in. The ticket moves through five statuses, and everyone in the shop sees the same status on Web and Android in real time.
| Status | What it means |
|---|---|
| Pending | Booked in and waiting for a technician. |
| In Progress | Being diagnosed or repaired. |
| Ready | Fixed and waiting for the customer to collect. |
| Delivered | Handed back to the customer. |
| Not Repaired | Could not be fixed; waiting to be returned. |
What is recorded on each repair ticket?
- IMEI or serial number, with a warning if a phone IMEI is not 15 digits
- Customer name and phone, linked to their full repair history
- Device brand, model and type, including device types you add yourself
- Passcode or unlock pattern, and an intake condition checklist
- Fault description, estimate and customer approval
- Deposit, balance and payments
- Parts used, taken off stock automatically
- Assigned technician, priority (low to urgent) and due date
- Photos (Android app)
How does IMEI tracking help?
- Find the job fast. Search the repairs list by IMEI or serial, repair number or phone number.
- Handle warranty returns. In warranty mode, search the IMEI or the customer's phone to see repairs still under warranty, then open a warranty claim linked to the original repair.
- Catch typos. A phone IMEI should be 15 digits; RepairFlow warns you if it is not, and still lets you save a serial number instead.
- Track used phones. Devices you buy, sell or take in trade are recorded by IMEI too, so stock and repairs share one history.
Paper tickets vs spreadsheets vs RepairFlow
| Paper ticket book | Spreadsheet | RepairFlow | |
|---|---|---|---|
| Find a job | Flick through the ticket book | Ctrl+F, if someone typed it right | Search by repair number, phone or IMEI/serial |
| Device history | Lost with old books | Spread across tabs | Every past repair on the customer and device |
| Warranty check | Find the old receipt | Manual date maths | Search IMEI or phone in warranty mode |
| Right device back | Handwritten tag | Handwritten tag | QR repair label printed at check-in |
| Status | In someone's head | A column nobody updates | Pending → In Progress → Ready → Delivered |
What RepairFlow does not do
- Check IMEIs against stolen or blacklist databases. Use a separate IMEI checker; on trade-ins, RepairFlow records the seller's declaration that the device is not reported stolen.
- Decode an IMEI to fill in the make and model for you.
- Give customers a live repair tracking link yet. This is on the way.
- Send automatic status updates. Messages open pre-filled and staff press send.
